Introduction

Purpose

This Standard Operating Procedure (SOP) document establishes the operational guidelines and processes for the Lynn Music Foundation (LMF) Audio Engineers Guild. It ensures consistency, quality, and professionalism in all studio operations and client interactions.

Scope

This SOP applies to all Audio Engineers Guild members, studio staff, and clients utilizing LMF facilities at 25 Exchange St, Lynn, MA 01901.

Client Engagement

Initial Contact

  1. Respond to all client inquiries within 24 hours
  2. Provide clear information about services, rates, and availability
  3. Direct clients to appropriate booking channels

Communication Standards

  • Maintain professional and courteous communication at all times
  • Use Connecteam for internal team communication
  • Keep clients informed of any schedule changes or studio updates
  • Document all client interactions and special requests

Service Delivery

  • Arrive 15 minutes before scheduled session time
  • Confirm equipment needs and session requirements in advance
  • Maintain clean and organized workspace throughout session
  • Follow studio closing checklist procedures

Booking System

Acuity Scheduling

Purpose

Acuity Scheduling is a comprehensive online appointment scheduling platform designed to streamline the booking process. It allows clients to view real-time availability, book appointments, complete custom intake forms, and make payments through a branded, user-friendly interface.

Uses

  • Engineers guild members can book the room after connecting with clients
  • Space & Calendar Management
  • Currently accessed through Connecteam app (Assets > LMF HQ > Engineers Hub)

Booking Process

Step 1: Client Connection
  • Meet with potential clients and discuss project requirements
  • Confirm client's preferred dates and times
  • Explain booking process and studio policies
Step 2: Room Booking
  • Log into Connecteam app
  • Navigate to Engineers Hub
  • Select "Room Rental (Only for Certified LMF Engineers & Staff) with Bank Block Studios"
  • Choose available date and time slot
Step 3: Confirmation
  • Receive booking confirmation via email
  • Add session to personal calendar
  • Communicate confirmation details to client

Available Time Slots

  • 8:00 AM - 1:00 PM (5-hour blocks)
  • 12:00 PM - 5:00 PM (5-hour blocks)
  • 4:00 PM - 9:00 PM (5-hour blocks)

Visitor Sign-In

Envoy System

Purpose

Envoy offers visit sign-in solutions that allow LMF to track metrics for the people we serve. Gathering this reporting helps support funding and program development.

Sign-In Process

For Engineers:

  1. Log into Envoy dashboard using company email address
  2. Complete authentication process
  3. Access visitor management features

For Visitors/Clients:

  1. Arrive at LMF facility
  2. Use Envoy kiosk (desktop or mobile)
  3. Enter company email address
  4. Complete sign-in form
  5. Receive digital confirmation
