Privacy Policy — Control Room

Overview
Lynn Music Foundation ("LMF," "we," "us," or "our") uses a system called Control Room to automatically sync your membership information from our Squarespace site to the LMF Staff Portal. This policy explains what information Control Room collects when you purchase or hold a membership through our Squarespace site, how that information is used, and how it's protected. It applies specifically to the data that flows through the Squarespace Connector — for how the Staff Portal handles data more broadly, see our Staff Portal Terms & Conditions.
What We Collect
When you purchase a membership (Artist Membership, Audio Engineers Guild, or Non-Profit Partnership Member) on our Squarespace site, Squarespace sends LMF an order notification containing:
Your name and email address
Your phone number, if provided at checkout
The membership product you purchased and its price
Your subscription status and renewal dates
We do not receive your full payment card details. Payment is processed directly by Squarespace and, separately, by Square for any in-person or Portal-based transactions; LMF never sees or stores your card number.
How We Use It
We use this information to:
Create or update your member record in the LMF Staff Portal automatically, so you don't have to re-enter your information with us
Assign you the correct membership tier and, for the Audio Engineers Guild, start your onboarding checklist
Communicate with you about your membership, bookings, and LMF programs
Keep an internal record of your subscription status so staff can confirm your standing when needed (for example, studio access or event registration)
Who Can See It
Access to your membership data inside the Staff Portal is limited to LMF staff whose role requires it — generally Super Admins, Admins, and Managers, with more limited "view only" access for other staff roles. Every access to your record is logged for security purposes. We do not sell your information, and we do not share it with any third party beyond the service providers described below.
Service Providers Involved
Because Control Room connects several platforms to run LMF's operations, your data may pass through:
Squarespace — where you created your membership and where your purchase and account information originates
Supabase, our database provider, where your member record is stored
Square, for payment processing on Portal-based transactions
Eventbrite, if you register for an LMF event, and Clerk, which authenticates LMF staff accessing your record
Each of these providers has its own privacy policy governing how it handles data on its platform; we encourage you to review Squarespace's privacy policy for information about what it collects directly.
How It's Protected
All data sent from Squarespace to LMF is verified using a signed webhook request, so LMF only accepts data that genuinely originates from our authorized Squarespace site. Credentials used to connect the two systems are stored securely on our servers and are never exposed publicly. Every connection and data sync is logged, and LMF staff who can access or modify this connection are required to use multi-factor authentication.
Data Retention
We retain your membership record for as long as you hold an active membership with LMF, and for a reasonable period afterward for recordkeeping and legal compliance purposes. Sync logs recording when your data was received from Squarespace are retained in accordance with LMF's internal data retention policy.
Your Choices
You can review or request corrections to the information we hold about you, or ask us to explain how a specific piece of your data was used, at any time by contacting us using the information below. If you'd like your Squarespace membership data removed from the Staff Portal after your membership ends, let us know and we'll process your request in accordance with our recordkeeping obligations.
Children's Privacy
LMF memberships are intended for adults and older students participating in our programs. If you believe a minor has provided personal information to us without appropriate parental or guardian involvement, please contact us so we can address it.
Changes to This Policy
We may update this policy from time to time to reflect changes to how Control Room or our Squarespace integration works. We'll post the revised policy here and update the "Last Updated" date above.
